Signs your heat pump needs repair
Heat pumps usually tell you something is wrong before they quit. In a Northeast winter, small problems turn into no-heat calls fast, so it pays to act on the early signs.
- Air from the indoor unit is cool or lukewarm for more than 15 minutes (a short cool spell during defrost is normal; see our guide to defrost mode).
- The system runs constantly but the house never reaches the set temperature.
- The indoor unit blinks a light pattern, or the remote shows an error.
- Water leaks inside, or ice builds up on the outdoor unit and does not clear.
- Grinding, rattling or loud buzzing from either unit.
- The breaker trips when the system starts.
- Your electric bill climbs with no change in weather or habits.
Not sure which category you are in? Start with the Mitsubishi Heat Pump Troubleshooter or our mini split not heating checklist. If nothing on the list fixes it, book a visit.
What a repair visit includes and what it costs
The visit charge is simple: $250 for the trip and diagnostic. That covers a technician at your home, a full test of the indoor unit, outdoor unit, line set connections, drain and controls, and a clear explanation of what failed and why.
You get a written quote before any repair work starts. Nothing is done until you say yes. If you approve, the repair proceeds on our quote. If you decide to hold off or replace instead, you owe the diagnostic and nothing else.
What we check on every visit
- Error codes and operating history from the controller
- Airflow, filters, coil condition and drain path
- Outdoor fan, defrost operation and ice or debris
- Refrigerant-side symptoms, line set condition and electrical connections
- Thermostat or remote settings that mimic a failure
Our crews are our own employees, not subcontractors and not a call center, so the person who diagnoses the problem is the person you can call back.
Mitsubishi-certified technicians, all brands serviced
Superior CO-OP HVAC has been a Mitsubishi Electric Diamond Contractor ELITE since 2020, the highest installer tier Mitsubishi offers. Our technicians are trained on Hyper-Heat outdoor units and the full range of wall, floor, ceiling-cassette and ducted indoor units, including multi-zone systems.
You do not need to have bought from us. We repair all brands of heat pumps and mini splits, along with furnaces, boilers, central AC and water heaters. If another contractor installed your system and is no longer returning calls, we can take it from here.
Because we install Mitsubishi every week, we see the patterns that cause repeat failures: condensate lines that were run poorly, outdoor units sitting too low for snow, missing pan heaters, and power surges. When a repair exposes one of those, we tell you plainly and quote the fix separately.
Same-day service and no-heat emergencies
When the schedule allows, we send a technician the same day you call. No-heat situations in January get priority over a noisy fan in October, and we will tell you honestly which one you are.
The fastest way to get on the schedule is our 24/7 AI booking line at (518) 333-7431. It books service and repair calls and no-heat emergencies at any hour, including nights and weekends. The office line, (518) 719-5614, is answered by a live person Monday through Friday, 8 to 5. You can also use online scheduling.
If your whole house has lost heat, read our no-heat help page first. It covers safe checks you can do in a few minutes, and what to do if you have small children, elderly family members or a frozen-pipe risk.
Repair or replace: the $5,000 rule
Not every heat pump should be repaired. We use a simple rule of thumb called the $5,000 rule: multiply the repair cost by the age of the system in years. If the number is $5,000 or more, replacement usually makes more sense.
A $500 repair on a 10-year-old system lands exactly on the line. A $400 repair on a 5-year-old system is a clear repair. A $1,200 repair on a 12-year-old system points toward replacement.
It is a guide, not a verdict. We also weigh the system's refrigerant type, parts availability, whether the repair addresses the real cause, and how well the equipment matches your home. If replacement is the better call, we will say so, and we will never push a new system when a repair will do. The full framework is on our repair vs replace page.
Prevent the next repair with a maintenance plan
Most heat pump failures trace back to dirty coils, clogged drains, loose connections or ice. A twice-a-year tune-up catches them before they stop the system on a cold night.
- Preferred plan: $10.50 per month per outdoor unit, for Mitsubishi systems we did not install.
- Superior Shield Elite: $18.50 per month, 100% parts and labor, for systems Superior installed.
- Single visits: a ductless single-zone tune-up is $220.99.
Our 12-year parts and labor warranty on Mitsubishi installs through the Elite Care Plan requires spring and fall visits, and the Shield plan includes them. Details are on our maintenance programs page and warranty page.
Where we repair heat pumps
We work within about a 90-minute radius of our Cambridge, NY shop: the Capital Region (Albany, Troy, Schenectady, Saratoga), Washington, Saratoga, Rensselaer, Warren, Essex and Franklin counties, the Adirondacks, and Bennington and Rutland counties in Vermont. Our North office in Ticonderoga covers the lake and mountain towns.
See the full list on our service areas page. If you are thinking a failing system is a good time to consider something newer, our heat pump installation page explains what a replacement involves, and the Heating Cost Calculator shows what you could save. Both are optional. The repair stands on its own.
Frequently asked questions
How much does heat pump repair cost?
Superior CO-OP HVAC charges $250 for the trip and diagnostic. After that you receive a written quote for the repair itself, and no work starts until you approve it. The total depends on the part and labor involved, which is why we quote after diagnosing rather than guessing over the phone.
Do you repair heat pumps you did not install?
Yes. Superior CO-OP HVAC repairs all brands of heat pumps and mini splits, including systems installed by other contractors. Our technicians are Mitsubishi-certified, so Mitsubishi systems are our specialty, but we diagnose and repair other makes as well. A written quote comes before any repair work begins.
Can you come the same day?
Superior CO-OP HVAC offers same-day heat pump repair when the schedule allows, with no-heat emergencies prioritized. Call the 24/7 booking line at (518) 333-7431 at any hour, or the office at (518) 719-5614 on weekdays between 8 and 5. Emergencies are prioritized over routine issues.
Should I repair or replace my heat pump?
Superior CO-OP HVAC uses the $5,000 rule: multiply the repair cost by the system's age in years. If the result is $5,000 or more, replacement is usually smarter. We also consider parts availability and whether the repair fixes the root cause, and we tell you honestly either way.
What if I decide not to go ahead with the repair?
Superior CO-OP HVAC charges $250 for the trip and diagnostic, which covers the technician's time and testing. If you read the written quote and decide to hold off, get a second opinion or replace the system instead, you owe only that diagnostic charge and nothing more.
Will a maintenance plan prevent repairs?
Superior CO-OP HVAC maintenance plans cut down on avoidable failures by cleaning coils and drains and checking connections twice a year. The Preferred plan is $10.50 per month per outdoor unit for Mitsubishi systems we did not install. Superior Shield Elite is $18.50 per month for systems we installed.
